One project, one team

From the first idea to the final settlement

That is the sentence the agency uses about itself, and it is meant literally. One project lead stays with your event the whole way, so you are not re-explaining the brief to somebody new in the week before it starts.

  1. The first conversationYou tell us what you know so far, even if that is only a season and a rough number of people. We come back with what is realistic in that window and what it would take.
  2. Programme and venueWe define the programme with you, shortlist the venues, walk them, and negotiate the terms in the local market and the local language.
  3. Hotels and transfersRoom allocations across price levels, airport and inter-city transfers, arrivals spread over several days, the group that lands close to midnight and the two speakers who arrive a day early.
  4. Registration and delegatesRegistration, delegate communication, badges and lists, changes right up to the last week, and coordination of everything on site once people start arriving.
  5. The days themselvesOur team is in the building. The room set-up, the technical support, the speakers, the exhibition and poster area, the transfers, the dinner, and the timing between them.
  6. The final financial settlementWhen the event is over you get one settlement for the whole project, reconciled against what was agreed. That is where our involvement ends, and it is the part most people never think to ask about until it is late to ask.

Why go straight to the agency on the ground

We are here

Our office is in Dubrovnik, at Iva Vojnovića 9. We organise events across Croatia, and Montenegro where the brief fits. Site visits, venue negotiations and the suppliers are all local to us, which means the person answering your question about a room, a road or a permit has actually stood in it. When you write to us, you reach the people who will do the work. There is nobody in between.

The same team plans it and runs it

The proposal is not written by one team and handed to another. One project lead carries your event from the first e-mail through the programme, the venue, the hotels and the days on site, and stays with it to the final settlement. That is also the reason we hold a small calendar, which we say plainly further down the page.

A registered agency, insured

Adria kongres d.o.o. is a Croatian travel agency registered at the Commercial Court in Dubrovnik, and it holds its insurance policy with Wiener osiguranje. You contract with the company that does the work, and the settlement comes from the same place.

The process

How a request turns into an event

Questions we get before the proposal

Which destinations do you cover, and do you work outside Croatia?

We are based in Dubrovnik and we organise events across the whole of Croatia. Montenegro is possible, and Bosnia and Herzegovina can be discussed, both depending on the event and the dates. Outside that region we are not the right agency for you, and saying so early saves you a month.

Our event is small. Or very large. Are we a fit?

We work with everything from a board meeting and a small incentive group up to a full congress, so the honest answer depends less on the size than on the calendar. We are a small, specialised team and we deliberately take on a limited number of events each year, because that is the only way one project lead can stay on your event from the brief to the settlement. If we are already committed on your dates, or if you need an agency that can run several large congresses in the same week, we will tell you that in the reply instead of accepting the work and passing it on. You get that answer at the start, not in month three.

How far in advance should we come to you?

Both ends happen. Some clients come to us years ahead, others a few months before the dates. Earlier gives you more choice of venue and hotel allocation, later means we work with what is still open. Send the request either way and we will tell you what is realistic for those dates.

Do you handle hotels and transfers, or only the venue?

Both, and they sit inside the same proposal. Room allocations across several price levels, airport and inter-city transfers, arrivals and departures spread over several days, and the movement between the venue, the hotels and the evening programme.

What about sponsors, exhibitors and the technical set-up?

The exhibition and poster area, stands, simultaneous interpretation, microphone and interactive systems are arranged by us as part of the event. One limit worth stating: we do not take on technical support as a standalone service for somebody else's event. We arrange it inside a project we are organising.

Who will our contact be?

One project lead, from your first e-mail to the final settlement. You will not be introduced to a new person once the contract is signed, and you will not be explaining your programme twice.
